Cloud Services
Migrating email, files and services to the cloud, with access control set up properly.
An email server in the corner of the office, a shared folder on the accountant’s computer, documents forwarded back and forth by email. Plenty of companies work this way, until a disk fails, an employee leaves with all the passwords, or it turns out nobody can reach the files from home.
Cloud services solve these problems: email and files are available from anywhere and on any device, and the provider takes care of keeping the servers running. But moving to the cloud doesn’t guarantee anything on its own. If the migration is rushed, without proper access control and security, the problems simply move along with the data.
What to move to the cloud, and what not to
The cloud isn’t right for everything, and we don’t suggest moving everything there.
It makes sense to hand over to the cloud email, shared files, calendars, video calls and document collaboration. A provider maintains these services better and more cheaply than a server in your office.
Your own infrastructure is better for accounting systems, sensitive data and your company’s own services, where control matters more than convenience. For these, we build a private cloud on your own hardware.
Often the best option is a combination: email and documents in the cloud, critical systems in-house.
Email migration
- Migration with full history. Emails, folders, contacts and calendars move along with your users.
- Invisible to your customers. Addresses stay the same, the switchover happens via DNS at an agreed time, and no emails are lost along the way.
- Domain protection. We set up SPF, DKIM and DMARC so your emails don’t end up in spam and scammers can’t send messages in your name.
File migration
- Tidying up before the move. Moving chaos to the cloud just gives you the same chaos in the cloud. First we agree on a folder structure and work out who needs what.
- Role-based access rights. Accounting sees its documents, sales sees theirs, shared materials are available to everyone.
- Sync and access from anywhere: from the office computer, from home, from a phone.
Access and security
- Two-factor authentication for all staff, especially management and accounting.
- Consistent password policies and alerts for sign-ins from unfamiliar devices.
- Admin rights stay with you. The main account for the cloud service is registered to your company, not to the contractor. You can switch contractors at any time without losing anything.
- Onboarding and offboarding. A new employee gets access on their first day. When someone leaves, their access is revoked, while their email and files remain with the company.
How the work is structured
- Assessment. We find out which services you use now, how much data needs to be moved and who uses what.
- Choosing a platform. We select a cloud service that fits your needs, budget and data storage requirements.
- Preparation. We agree on the structure, access rights and switchover date.
- Migration. We move the data and switch over services, outside business hours where possible.
- Guidance and support. We show your staff how to work in the new system and answer questions in the first days after the move.
Cloud services can be supported as a standalone service or as part of comprehensive IT outsourcing.
Who it’s for
- Companies whose email or files still live on an old server in the office.
- Teams with remote staff or several offices.
- Those already using the cloud, but without order: personal accounts, shared passwords, former employees who still have access.
